Terms and Conditions
Last updated 30 September 2026
These terms apply to anyone who uses Engineer in Residence ("EIR", "we", "us"), our coworking space in Balkhu, Kathmandu, this website and the member portal. By buying a membership or day pass, or by logging in with an access code, you agree to them.
01Memberships and passes
We offer monthly memberships, 3 month memberships and day passes. Current prices are listed on our home page and may change; a price change never affects a period you have already paid for.
- Memberships are billed upfront at the start of each period and run for the dates shown in your account.
- 3 month memberships are paid in full upfront and cover three consecutive months.
- Day passes are valid for a single day during opening hours and should be booked at least a day in advance. Unused days do not roll over unless we agree otherwise.
- If you buy a monthly membership within 7 days of a day pass, the price of that day pass is taken off your first month.
- Seats are shared unless a desk has been assigned to you. We will try to keep your usual spot, but can't guarantee it.
02Payments and refunds
We accept cash, card, eSewa, Khalti and Fonepay at reception. Fees are paid in Nepali Rupees and include any applicable taxes unless stated otherwise.
Membership and pass fees are non-refundable once the period has started. If you need to cancel before your start date, contact us and we will refund or move your booking at our discretion.
03Access codes
Each member gets a personal access code that logs them into the member portal. Your code is like a password:
- Keep it to yourself. Don't share it or let anyone else use your membership.
- You are responsible for orders, bookings and credit spending made with your code.
- Tell us straight away if you think someone else has it, and we will issue a new one.
Day-pass codes expire at closing time on the day they are valid.
04Credits, food orders and room bookings
Food, drinks and meeting room time are paid for with prepaid credits, topped up at reception. Credits have no cash value, cannot be transferred to another member, and are not refundable except where we decide otherwise or the law requires it.
- You can cancel a food order in the portal until the kitchen starts preparing it; the credits go straight back to your balance.
- Meeting room bookings can be cancelled in the portal before they start, and the credits are returned.
- Menu items, prices and availability can change at any time.
- Please tell staff about allergies before ordering. We can't guarantee any item is free of a given allergen.
05House rules
We want the space to stay quiet, clean and safe for everyone. While you are here, please:
- Take calls in the meeting room or keep them short and quiet at your desk.
- Look after the furniture, monitors and other equipment, and report anything broken.
- Only bring guests with our permission, and make sure they follow these rules too.
- Don't use our network for anything unlawful, abusive or that disrupts other members.
We may suspend or end access, without a refund, for anyone who seriously or repeatedly breaks these rules.
06Your belongings
We provide secure storage, but you are responsible for your own belongings. We are not liable for loss, theft or damage to personal property in the space except where it is caused by our negligence.
07Services and availability
We work hard to keep internet, power backup and the portal running, but we can't promise they will never be interrupted. We may close the space for holidays, maintenance or events outside our control, and will give notice where we can. If we close for a full day you have paid for, we will extend your membership or give you another day.
08Liability
To the extent the law allows, our total liability to you for any claim is limited to the fees you paid us in the month the claim arose, and we are not liable for indirect losses such as lost profits, lost data or missed deadlines. Nothing in these terms limits liability that cannot be limited under the laws of Nepal.
09Privacy
How we handle your personal information is explained in our Privacy Policy.
10Changes and governing law
We may update these terms from time to time. The date at the top of this page shows when they last changed, and we will tell current members about significant changes. These terms are governed by the laws of Nepal, and disputes will be handled by the courts of Kathmandu.
